Step 1 : Creating and detailing a Tire Category

  • From the Main Menu, click on Inventory,
  • From the Inventory Sub-Menu, click on Inventory Category Management,
Note: you can also access this window by click the Search icon to the right of the Category number on the Inventory pages.
  • Select the Category or, using the green Add icon, create a new Category,
  • Check the Inventory follow-up box,
  • Check the Allow product purchases box,
  • Check the Post on work order box,
  • Check the Tire Category box,
  • Check the Detailed box,
  • You can also link automatically fees or charges, such as environmental fees, to the Category.
  • Click the Save icon.
 
Step 2 ;  Creating and entering a tire product in inventory:
  • Open the Inventory window,
  • Click on the green Add icon,
  • Enter the Category number, (700 in this example)
  • Enter a tire product code,
  • Click on the Tire tab,
  • Enter the Brand, Model, type and dimensions (to be used by the tire search function),
  • Click on the Tire icon to the right of the tire description field,
  • The tire description will be automatically added to the Description field,
  • Enter your cost,
  • Enter the retail selling price,
  • Optionally, enter the location and quantities in stock,
  • Click the Save icon.
  • Repeat Step 2 for all tires you carry in stock or sell.
Searching for available tires on the Point of Sales (POS) window; (there are two methods)

Method 1:
  • Open an estimated for a customer,
  • In the product description field, enter the desired size 216/65R17 as 216*65*17,
  • Press enter and your tire inventory with that size will appear
  • Locate the appropriate tire for your customer’s needs and double click your selection,
  • The selected tire will added to your estimate,
  • Enter the quantity and adjust the price (if necessary).
  • The tires will be put on the Reserved column so nobody else can sell the same tires.

Method 2:
  • Still on the POS, click the tire search icon,
  • Enter as much or little information search criteria as needed and press enter,
  • The list of tire fitting those criteria will be displayed,
  • As in Method 1, locate the appropriate tire for your customer’s needs and double click your selection,
  • The selected tire will added to your estimate,
  • Enter the quantity and adjust the price (if necessary).
  • The tires will be put on the Reserved column so nobody else can sell the same tires.
 

Notes:

To improve the search speed as well updating inventory and pricing, use the Excel Product Transfer function

(Main Menu -> Inventory -> Product Transfer (Excel).

The Brand and Model fields are critical to enter if you have the intention of making pricing updates via the Excel Transfer functions.

GEM-CAR offers an easy to use punch clock system, which allows the owner to charge the correct repair time on every invoice.  In addition, GEM-CAR provides a number of professionally designed inspection forms that allows the mechanics to inspect the vehicle properly and record the information so the customer can see what is required on their vehicle. One of the critical functions within GEM-CAR is the use of the “Reminder Letters”.

The Reminder letters are mailed out to the owner of the vehicle. After each mailing, there are follow-up calls made within a few days and on average, 83% of customers have returned to the shop for further work. This has generated up to $ 1,000 in additional labour revenue per month, per tech,” says Worts.
