List of options

Option Description
1 Automatic increment of client numbers: Although you can manually configure 12-character alphanumeric customer numbers, when this option is enabled, GEM-CAR assigns additional sequential numbers when adding customer numbers with fewer than 12 characters. From the Point of sale, if your input non-existent 7-digit customer numbers, GEM-CAR also assigns them by default as new customer numbers.
2 Net amount distribution (without discount): When this option is enabled, discounts are applied directly to selling prices. When this option is disabled, you must sell items at the list price and then apply discounts using different ledger codes.
3 Unlock changing an item’s description in the PoS: When this option is enabled, advisors cannot change the descriptions of inventoried or scanned items from the Point of sale. New inventory items added via the Point of sale are also subject to this rule.
4 Ask for cost input if item doesn’t come from the inventory: When this option is enabled, while parts are added from the Point of sale for which no product code exists on the code list, GEM-CAR asks for costs to be entered.
5 Use the GEM-WORK suite: This option enables GEM-WORK. To benefit from the inspection sheets associated with product codes and filled automatically when printing work orders, you must subscribe to the additional optional plan. Additional fees may apply.
6 Show cost at input: When this option is enabled, GEM-CAR normally displays costs when entering or adding items from the Point of Sale. When it is disabled, they are hidden and replaced by asterisks.
7 Input margin instead of a percent profit: When this option is enabled, while adding parts from the Point of Sale for which no product code exists on the code list, GEM-CAR asks for the cost and a percentage to calculate the selling price.
8 Miscellaneous customer name editable: When this option is enabled, while producing estimates for walk-in clients, the names can be changed directly from the Point of sale without the need to modify the customer’s profile.
9 Display time for appointments in decimal: When this option is activated, the duration of jobs is displayed in hundredth in the Point of Sale and on the code inventory list. The format is 1.75 hours instead of 1 hour 45 minutes. Since the management of appointments is already subject to daily imponderables, the schedule of appointments is intended to manage 15 minutes or 0.25 hundredth of an hour.
10 Display time in the appointments schedule in decimals: When this option is activated, the duration of jobs is displayed in hundredth in the appointment schedule. The format is 1.75 hours instead of 1 hour 45 minutes. Since the management of appointments is already subject to daily imponderables, the schedule of appointments is intended to manage 15 minutes or 0.25 hundredth of an hour.
11 Do not ask for backup upon exiting: This option disables the pop-up window asking for backup upon exiting GEM-CAR. You should not enable this option unless your company has an automatic online backup system. By default, GEM-CAR uses the USB key as the backup location.
12 Display and input category for items that are not registered in inventory: When this option is enabled, GEM-CAR asks to input categories when inventory items are created from the Point of sale. When this option is disabled, all items are automatically saved in the 200 category (by default). We recommend that you activate this option in order to produce personalized and accurate sales by category reports.
13 Automatically save product to inventory: When this option is enabled, as soon as items are added on estimates from the Point of sale, they are automatically added to the code list.
14 Use the price list: This option enables the use of the price list. After the activation, GEM-CAR will ask for the importation of a price list in CSV format.
15 Display the door number on the delivery slip: When this option is enabled, the location associated with each item is printed on the delivery slips created from the Point of sale.
16 Do not check the format of postal codes: When this option is enabled, GEM-CAR does not validate the format of postal codes in the customers’ and suppliers’ profiles to conform to the Canadian format. It then allows adding international or American postal codes.
17 Display the "Truck" tab in the vehicle maintenance: This option adds the Truck tab to the Vehicle maintenance window to allow the input of specific additional information on trucks.
18 Display only the last 4 digits of product numbers on the invoice: When this option is activated, the 6-digit inventory item codes remain intact in the software, but are shrunk to 4 digits on invoices.
19 Use the product’s sort key in inventory search: This option adds an advanced search field in the inventory item sheets. When entering information contained in this field (complete or partial) while adding item codes on estimates, the search-by-sorting key then becomes active. If your inventory is voluminous, you may experience delays or slowdowns.
20 Use a 12hrs clock instead of 24hrs: When this option is enabled, GEM-CAR displays the time in the 12-hour format (1:00 to 12:59 with a.m. and p.m.) instead of 24 hours (0:00 to 23:59).
22 Distribution company (no vehicle management): When this option is enabled, GEM-CAR allows adding inventory items without entering or creating vehicles while producing estimates in the Point of sale.
23 Display "Estimates" on estimates: When the option is enabled, “ESTIMATE” appears on the right upper corner of estimates.
24 In the vehicle management window, use KM instead of miles by default: When this option is enabled, while creating vehicle profiles, GEM-CAR uses kilometers as the default measurement. When it is disabled, the default measurement is miles. This parameter is configured individually for each vehicle and can be modified at any moment.
25 Mandatory Vehicle’s ID number input: When this option is enabled, invoices cannot be closed without entering a VIN. For customers without vehicles, invoices can be closed without entering this information. This option does not affect estimates, appointments or work orders.
26 Use job types by department: When this option is enabled, the department associated with a job is displayed in the Point of sale. This option also adds options for creating sales reports sorted by department. Activating this option removes the need to split products for using them in various departments. Thus, only one inventory item is necessary and the sale is attributed to the department to which the job is associated. Items sold without being associated with a job are excluded from sales by department statistics.
27 Activate manufacturer’s preventative maintenance: This option adds the OEM’s preventative maintenance tab in the Vehicle management window from which preventative maintenance grids can be configured for vehicles. Technicians can then produce preventative maintenance reports from the Point of sale if preventative maintenance is activated in the vehicle’s profile. When this option is enabled, GEM-CAR calculates the date of the next appointment according to mileage instead of the default time configured in the preventative maintenance entry. To do the calculation, it needs at least two closed invoices with mileage in the vehicle’s history.
28 Remove "2 invoices required" for base preventative maintenance: If you want GEM-CAR to produce precise estimations of annual mileage, vehicles must have at least two closed invoices in their history. This option disables this prerequisite to allow the management of preventative maintenance for customers at their first visit. However, the calculation of the date of the next appointment is less precise because it is now based solely on time intervals and does not take into account the mileage anymore.
29 Use the cash drawer: This option enables the GEM-CAR cash drawer.
30 Show the Appointment window in 36hrs mode: When this option is enabled, GEM-CAR lengthens the visible range of the calendar and shows 36 hours instead of 24 hours. This option makes it easier to make appointments for repair shops with evening and night shifts.
31 Display GEM-WORK on screen: When the option is enabled, the GEM-WORK inspection sheets are displayed on-screen and you may choose whether to print them or not. If this option is disabled, the GEM-CHECK inspection sheets are directly printed after a work order is visualized or printed.
32 Automatic number for storage: When this option is enabled, GEM-CAR automatically generates new tire storage numbers when creating a new tire storage sheet. If this option is disabled, customers can manually inscribe a unique number based on the tag or the storage sheet.
33 Sequential work order number: When this option is enabled, GEM-CAR automatically generates sequential new work order numbers. If this option is disabled, GEM-CAR uses the date tags to generate work order numbers.
34 Mandatory GL number: Only enable this option if you are using an accounting bridge or if you export data to an accounting software. When this option is activated, ledger numbers are mandatory for transactions. Several pop-up validation windows will be activated as reminders.
35 Import client information from 411: This option activates the 411 integration to GEM-CAR. You can then search with phone numbers in the Customer management window and import information about names, addresses and phone numbers.
36 Import info from 411 in upper case: When this option is enabled, information imported from the 411 service will be converted to upper cases.
37 Display subtotal of each job on estimates and invoices: When this option is enabled, subtotals for each job is displayed on estimates and invoices.
38 Automatically add scanned items from the punch window: When this option is enabled, as soon as barcodes are scanned, items are added automatically to estimates and work orders. To add multiple items simultaneously, you can scan barcodes corresponding to the quantity, to the asterisk (*) and then the item.
39 Display a warning when charging a customer that has no address: When this option is enabled, a warning displays when invoicing a customer for whom no address is configured in the customer profile.
40 Reverse the clicks on the work order button: When this option is enabled, left-clicking on the F11 W/O (work order) button of the Point of sale directly prints work orders while right-clicking on it displays them onscreen.
41 Reverse buttons for estimate display: When this option is enabled, left-clicking on the F3 Display button in the Point of sale directly prints estimates while right-clicking on it displays them onscreen.
42 Activate the VIN Internet search: This option activates the VIN decoder feature of GEM-CAR. You can then import information about vehicles using the CARFAX database.
43 Check if a new version of the application is available: When this option is enabled, when starting up, GEM-CAR checks for update. If an update is available, the GEM-CAR version bar turns to red on the main screen.
44 Follow punch clock on reports: This option enables additional validation pop-up windows notably concerning transitions of work orders and the punch clock.
45 Do not use the required time for jobs in the inventory: When this option is activated, all jobs added from the Point of sale have a default planned duration of one hour.
46 Display the estimate title label: When this option is enabled, additional fields are available to sort estimates, notably for the estimation search grid.
47 Send the estimate to the next work step when punching in: When this option is enabled, as soon as tasks are punched in the punch clock, estimates are transferred to the step associated with work orders.
48 When changing the quantity of sold time, do not change the planned time: By default, if the quantity of invoiced jobs is modified, the planned time for the appointment also changes proportionally, which can cause management conflicts in the calendar. When this option is enabled, the duration of jobs that have already been planned in the calendar does not change anymore.
49 Show message when an inventory part reaches it’s minimum: When this option is enabled, a warning pop-up window displays onscreen if you add parts on an estimate for which the availability is inferior to the minimum. The minimum is reached when the quantity on hand less the reserved quantity is inferior to the configured minimum quantity.
50 Schedule appointments without scheduled time in the punch window: When this option is enabled, technicians can scan barcodes on work orders and GEM-CAR assigns the jobs to their time slots automatically. The technicians’ initials also show on invoices. This can be useful to generate statistics and also applies to repair shops that do not use the calendar.
51 Round time for scheduled appointments: When this option is enabled, GEM-CAR rounds the time slots of appointments to 15 minutes to avoid creating conflicts in the calendar if there are free slots. This practice may however not be convenient for repair shops concerned about validating their performance statistics for allocated time.
52 Display cost price in the quick inventory search: When this option is enabled and you perform searches by product number from the Point of sale, the cost price of items displays.
53 Do not automatically schedule appointments in the Point of sale: When this option is enabled, GEM-CAR does not assign jobs added to estimates to the calendar automatically. A pop-up window shows onscreen and you then have to choose whether or not to schedule the job to the agenda. You can then avoid to fill the schedule grid with jobs that will not be sold.
54 Do not ask to add a message to the invoice before invoicing: When this option is enabled, GEM-CAR does not ask to add notes or messages when you generate invoices from estimates.
55 VIN number is mandatory for invoicing: When this option is enabled, you cannot close invoices containing the information about the vehicle (make, model, plate) without entering a VIN. This option should be enabled in provinces or states in which a VIN on invoices is mandatory.
57 Show advisor name on the invoice: When this option is enabled, the name of the advisors who crate estimates or invoices shows on the left upper corner of these documents.
58 Enable express end-of-day procedure (only available if no accounting software is configured): When this option is enabled, a storm button is available in the end-of-day procedure window. Clicking on it performs an express end-of-day procedure that selects all invoices and bypasses the report verification step.
59 Enter category in a text box when adding a new product in the Point of sale: When this option is enabled, the category selection drop-down menu is replaced by a field for entering the category while adding new items from the Point of sale.
60 Default values for vehicle creation (Automatic/Manual, Gas/Diesel, etc.): When this option is enabled, GEM-CAR automatically fills the fields for the transmission and fuel types in the vehicles’ profiles.
61 In the 411 importation: import the customer name (first name, last name) instead of (last name, first name): By default, GEM-CAR imports names from the 411 service in the last name + first format. Enable this option to invert the import to the first name + last name format.
62 Do not use a default category in the drop-down list when creating a new product from the Point of sale: When this option is enabled, GEM-CAR does not suggest the default category when adding parts. The category must then be chosen by the users using the drop-down menu. This is intended to avoid that users always choose the 200 category.
63 Allow adding preventative maintenance while creating a vehicle from the Point of sale: When this option is enabled, as soon as you begin creating new vehicle profiles from Point of sale, a pop-up window asks if you want to enable the default basic preventative maintenance for this vehicle.
64 Display the scheduled dates for appointments on estimates. The date and time are required: When this option is enabled, the date of appointments shows on estimates. Thus, estimates can be given to customers as appointment confirmations.
65 The mouse left click on the purchase button in the POS displays the purchase window (right click = reception): By default, left-clicking on the Purchases button in the Point of sale displays the Receive parts with invoices window. This option makes the Purchases window display when left-clicking instead of the Receive parts with invoices window and makes the Receive parts with invoices window available as a right-click option.
66 Use a sequential invoice number for the purchase window: When this option is enabled, GEM-CAR generates unique sequential numbers for new purchase orders. If the option is disabled, the numbers are based on date tags and are randomly generated unique numbers.
67 Check if the inventory quantity is sufficient in the item list of the Point of sale: When this option is enabled, a pop-up window displays a warning if a product reaches a quantity which is less than its minimum available quantity.
68 Hide the quantity and unit price of jobs on the invoice: When this option is enabled, the quantity and unit price columns for jobs do not show on estimates. Only the total labor shows. This practice should be validated in accordance with the laws and regulations of provinces and states.
69 Mandatory entry of mileage, license number, VIN and tire size in the punch clock window: When this option is enabled, technicians must enter the mileage, the license number, the VIN, and the tire size in the *Punch clock. Otherwise, procedures cannot continue.
70 Use line code: When this option is enabled, GEM-CAR displays information about cores related to specific items.
71 When making a purchase order for a POS estimate, include the core in the client’s estimate: When this option is enabled, the cores corresponding to purchase orders for work orders show on estimates printed for customers.
75 Hide the bay’s initials on the invoice: Enabling this option hides the technician’s initials configured in the Work bay / technician management window on invoices.
76 Recalculate the selling price with the price matrix when receiving a part for which the price has increased: If this option is enabled, when receiving parts for which the price has been modified, GEM-CAR recalculates the selling price using the configured price matrix.
77 Activate the multi-location mode in inventory: When this option is enabled, you can manage the inventory of multiple stores or repair shops using the same database.
78 Regroup labor imported from internet: When this option is enabled, labor time can be grouped when downloading from the ALLDATA website. Details of jobs can be found on the notes related to jobs and it is possible to adjust the quantities before the transfer. If the option is disabled, the selected jobs on the grid transfer individually.
79 Display vehicle information in the calendar in the first memo line: If this option is enabled, the vehicle information shows on the notes in the calendar when you hover the mouse over appointments.
80 Display line code on the invoice: When this option is enabled, the line codes show on estimates and invoices.
81 Display a confirmation message after sending each account statement e-mail sent: When this option is enabled, GEM-CAR displays validation pup-ups for each account statement sent by e-mail.
82 Ask if the current job is done when starting work on another appointment: When this option is enabled, GEM-CAR asks if the previous job has been completed if technicians try to punch another job and the previous one is still active.
83 Do not display advertisements on estimates: This option prevents advertisements to be displayed on estimates even if advertisements are configured for invoice models.
84 Do not send error reports to the development team: When this option is enabled, messages and data concerning errors and bugs are not sent to the GEM-CAR development team.
86 Always show the note panel in the Point of sale: When this option is enabled, the note panel always shows in the Point of sales.
87 In the Point of sale, do not lookup a VIN number if the base vehicle information is present: When this option is enabled, GEM-CAR does not search for the VIN of vehicles in the Point of sale if the basic information is already in the vehicle’s profile (brand, make, year, color, etc.).
88 Apply the discount on complete supplier invoices: When this option is enabled, GEM-CAR applies the discounts to the total amount after taxes on supplier invoices.
89 Use the inventory movement in the multi-location mode: When this option is enabled, transferring inventory items between different locations is allowed.
90 Open the calendar on the date of an estimate’s appointment: If this option is enabled, when an estimate is open with a scheduled appointment for another day, clicking on the calendar redirects to the day of the appointment.
91 Use the date and time of arrival and departure of the customer instead of the 'Customer has arrived' option: When this option is activated, you can enter the date and the time of arrival and departure of customers for their appointments. This option replaces the "The client has arrived" option.
92 Save a copy of estimates sent by e-mail: When this option is enabled, each estimate sent by e-mail is automatically saved in the customer’s profile. If the option is disabled, the only trace of this estimate can be found in the “Sent” folder of your e-mail account.
93 Do not use the monthly odometer to recalculate the preventative maintenance: When this option is enabled, GEM-CAR does not use the monthly mileage to calculate the dates of appointment for preventative maintenance of customers’ vehicles.
95 Automatically create reminders when adding preventative maintenance: If this option is enabled, GEM-CAR automatically creates reminders when you add preventative maintenance to customers’ vehicles.
96 Display the total of discounts on the invoice: When this option is enabled, GEM-CAR displays the exact amount of savings on customers’ invoices.
97 Enter the name of the signatory: If this option is enabled, when estimates and invoices are signed with an electronic signature pad, you can either enter and display the name of the signatory or hide it.
98 Do not display the company name on the work order: When this option is enabled, company names are not displayed on work order.
99 Progressive price matrix: When this option is enabled, sale prices are calculated using a progressive price matrix.
100 Do the end-of-day procedure for the purchases: When this option is enabled, GEM-CAR asks whether or not to perform the end-of-day procedure for payables.
101 Activate the shop supplies automatically for new customers: When this option is enabled, the Automatically add shop supplies to invoices option is checked by default in the customer profiles for every new customer.
102 Display creation date on the invoice: When this option is enabled, the date of creation of estimates appears on invoices on the top left corner.
103 Quick gas sales: Activating this option adds the gas sales module in the Point of sale.
104 Allow modifying the total field in the Point of sale: When this option is enabled, you can change the value of the total sale price field directly. If the option is disabled, the total sale price field is locked and you can only change the unit price. However, the total labor price cannot be modified. It can only be modified for parts.
106 Display "+ applicable taxes" in the job subtotal on the invoice: Enabling this option will add the "+ applicable taxes" message for sub-totals on invoices.
107 Exclude items from a kit in the current margin window: If this option is enabled, for estimates containing kits in Point of sale, when clicking on totals, items contained in the kits are excluded from the profit margin calculation. New items are automatically added to the default part category and GEM-CAR does not display the validation message for adding items to the inventory.
108 Automatically add non-existent items from the point of sale: If this option is enabled, when an item that is not in inventory is added on an estimate, it will always be added to the inventory. If this option is disabled, GEM-CAR will ask every time if you want to add it to the inventory. When this option is enabled, option 125 cannot be enabled at the same time.
109 Use color codes to indicate the availability in the calendar: When this option is enabled, if you switch to the monthly view in the calendar, days are green, yellow or red depending on the availability for other appointments for this day.
110 Reverse motor and cylinder fields when importing with a VIN: When this option is enabled, the import tool reverses the motor and cylinder fields. This option is recommended for importations using the NAPA VIN decoder.
111 Use GEM-CHECK: Enabling this option activates the GEM-CHECK digital inspection module.
112 Display Internet links: If this option is enabled, when you hover the mouse over Internet links, menus expand.
113 Display the technician time in the punch clock: When this option is enabled, technicians see the billing time, real time, and planned time for each job that they are working on in the Punch clock.
114 Use GEM-CHAT: Enabling this option activates the GEM-CHAT module.
115 POS auto full-screen mode: If this option is enabled, GEM-CAR automatically changes the resolution of the screen when clicking on the Point of sale button in the GEM-CAR main menu to enlarge the window.
116 Use cloud printing: When this option is enabled, GEM-CAR automates and optimizes the configuration of printers for cloud users in the case redirection numbers of the printers are changed.
117 Use GEM-SCAN: Enabling this option activates the GEM-SCAN module.
118 Mandatory entry mileage in the POS: This option activates a warning message before invoicing when no mileage has been entered for a customer’s car. GEM-CAR will not let you enter an entry mileage higher than the exit mileage.
119 Activate Sirius transfer: This option activates information sharing between GEM-CAR and Sirius about customers and their vehicles.
120 Do not use discount with price levels: When this option is enabled, if both discount groups and price levels are configured for a single item or group, only the price levels are applied.
121 Transfer sizes as products # for Costar 2: When this option is enabled, tire sizes are imported as product numbers from the GEM-LINKS which use the Costar 2 template.
122 Use the .NET module to send e-mails: This option enables the new upgraded .NET e-mail module.
123 Use the adjustment window for inventory adjustments: This options brings the Adjustment window when clicking on fields to adjust quantities in the Product/Job code management widow.
124 Use the .NET module to send SMSes: This option enables the new upgraded .NET SMS module.
125 Don’t add new items automatically to inventory and disable validation message: If this option is enabled, when an item that is not in inventory is added on an estimate, it will never be added to the inventory and will therefore show in red in the Point of sale. If this option is disabled, GEM-CAR will ask every time if you want to add the item to the inventory. When this option is enabled, option 108 cannot be enabled at the same time.
126 Use the GEM-CAR server to send e-mails: This option, available since GEM-CAR version 13.0.4, enables the simplified configuration of the e-mail module that uses the GEM-CAR server to send e-mails.
127 Activate CARFAX .NET: This option activates the CARFAX integration with GEM-CAR starting with version 13.0.4. When the option is disabled, GEM-CAR uses the NAPA VIN decoder.
128 Hide prices of items in Proposed and rescheduled: This option hides item prices on estimates in the Proposed and rescheduled step.
129 Use the .NET calendar: This option enables the GEM-CAR 2021 calendar.
