From the main menu, go to Configuration > Company management,


  • In the bottom right section, click the "Taxes" button to open the "Tax Group Management" window.

From the "Tax Group Management" window,


  • In the top section, select the tax group that has the taxe to update,
  • In the bottom section, click the first empty case under the "Tax" column,

  • In the new window, select the tax to update,
    • you can also use that window to add a new tax by clicking the ,
  • Enter the new tax number in the "Number" field,
    • or any other changes,
  • Click on the disk to save.

There are 2 ways to proceed based on the reason of the changes:

  1. To fix a wrong tax rate or effective date (ex: HST at 12% instead of 13%), you have to delete the tax line et and add it again with the correct informations.
  2. To add the new rate of the taxe based a new effective date (e.g.: HST will be 14% on 01/01/2018), you simply add a new line with the same tax, but with the new rate and the new effective date. Once GEM-CAR reaches that date it will use it instead. GEM-CAR will not add 2 same taxes together.

For situation #1:


  • From the "Tax Group Management" window,
  • In the top section, select the correct tax group,
  • You cannot edit a tax line in the bottom section, you have to remove the line and add it again correctly.
  • Select the tax line with the error and click the to delete it,

  • Click "Yes" to confirm that you want to delete the selected tax line,

  • In the bottom section, click the first empty cell under the "Tax" column,

  • Double click the tax to fix,

  • Enter the correct rate and/or the correct effective date,
  • Click the disk to save to save.

For situation #2:


  • In the top section, select the correct tax group,
  • In the bottom section, click the first empty cell under the "Tax" column,

  • Double click the tax to update,

  • Enter the new rate and the new effective date,
  • Click the disk to save.

From the "Tax Group Management" window,


  1. In the top section, click the to add a new tax group,
    • or select the tax group to edit.
  2. Enter a "Name or Description" and an "Abbreviation",
    • Optional: if the tax group is tax exempt, check the option:
      • Non taxable group,
    • If you have an accounting bridge between GEM-CAR and your Simply Accounting (SAGE 50), and you've already setup the same tax group in your software with a code, enter that same code in the "Simply Accounting tax code" field,
  3. Click the disk to save.

  • In the top section, select the new tax group,
  • In the bottom section, click the first empty cell under the "Tax" column,

  • Double-click the tax to update,

  • Enter the rate and the effective date,
  • Click the disk to save.
    • Repeat the steps for each tax to be added.

Each new invoice created for this customer after these changes will use the tax group assigned to the customer.


Go to the "Customer management" window (from the main menu or the Point of Sale),


  • Select the customer,
  • Go to the "Additional Information",
  • Next to the word "Taxes :", click the "STD" button (or any other tax group abbreviation that is already set),

  • Double-click the tax group to assign,
  • Click the disk to save.

Each new purchase invoice created for this supplier after these changes will use the tax group assigned to this supplier.


Go to the "Supplier management" window (from the main menu or a purchase window),


  • Select the supplier,
  • Go to the "Contact Info." tab,
  • Next to the "Taxes :" label, click the "STD" button (or any other tax group abbreviation that is already set),

  • Double-click the tax group to assign,
  • Click the disk to save.

From the Point of Sale (POS), open an estimate or a work order:


  • Select one or more products,
    • or do not select any to affect the whole estimate,
  • On the bottom right section, above the "Total" label, and below the "Taxes" label, click the "STD" button (or any other tax group abbreviation that is already set),

 


  • In the top section, double-click the tax group to apply,

  • Click "Yes" to apply this tax group to all the items in the estimate,
    • or "No" to apply this tax group only to the selected product(s).

With an accounting bridge or configuration

From the main menu, go to Reports > Accounting,


  • In the "Available reports" list, select the "Accounting transactions summary" report,
  • Select one the the modes:
    • Summary (default)
    • Detailed
  • Enter a period:
    • by entering the period number,
    • or by picking a date range,
  • Optional:
    • Choose a sort order,
    • Display lines (alternate row colors)
  • Click the printer to generate and display the report on screen.


In the "Detailed" mode, you can double-click the for details. To return to the previous screen, click the red "X" from the top left corner of the window next to the printer.






Without an accounting bridge or configuration


From the main menu, go to Reports > Accounting,


  • In the "Available reports" list, select the "Summary of distributions (Client)" report,
  • Enter or pick a date range,
  • Optional: you can also set a range of customers by entering a customer number range (From to To),
  • Click the printer to generate and display the report on screen.
